Job Summary
The Executive Secretary provides high-level administrative support to executives by managing schedules, communications, and office activities. This role is responsible for handling confidential information, preparing reports, organizing meetings, and ensuring the smooth flow of day-to-day operations. The Executive Secretary also serves as a key liaison between management, staff, and external stakeholders while maintaining professionalism and discretion at all times.
Key Responsibilities
Administrative Support
- Manage executive calendars, appointments, and travel arrangements.
- Draft, review, and prepare correspondence, reports, and presentations.
- Organize and maintain confidential files, documents, and records.
- Screen calls, emails, and requests, ensuring timely response and prioritization.
Meeting & Office Coordination
- Schedule, prepare, and coordinate meetings, including agendas and minutes.
- Liaise with internal teams and external partners on behalf of executives.
- Ensure smooth office operations by coordinating supplies, vendors, and administrative needs.
- Support executives in project tracking, follow-ups, and deadlines.
Communication & Representation
- Serve as the primary point of contact for executive-level communications.
- Handle sensitive information with the highest level of confidentiality and discretion.
- Represent executives in a professional manner when dealing with clients, staff, and external stakeholders.
Qualifications
- Bachelor's degree in Business Administration, Office Management, or related field preferred.
- Proven experience as an Executive Secretary, Executive Assistant, or in a similar role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and productivity tools.
- Ability to multitask and work under pressure while maintaining attention to detail.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
- Professional demeanor, flexibility, and problem-solving skills.
- Willing to be assigned full-time in Lipa, Batangas.
