An Executive Secretary provides crucial administrative and clerical support to high-level executives, managing schedules, communication, and logistical tasks to ensure smooth daily operations and efficient workflow. Act as a point of contact, handle confidential information, answering incoming calls, taking and delivering messages, responding to general inquiries, and contribute to the overall productivity of the executive team.

Responsibilities:

  1. Calendar Management

  2. Scheduling and coordinating appointments, meetings, and travel arrangements

  3. Communication Management

  4. Handling phone calls, emails, and correspondence, often acting as the first point of contact for the EVP and COO.

  5. Travel Arrangements

  6. Booking and coordinating flights, accommodations, preparing detailed itineraries, procuring visas and transportation.

  7. Office Management

  8. Ensuring smooth operations of the office

  9. maintain and organize files of the EVP and COO
  10. Manage and process the EVP's personal matters including expense claims, insurance and credit card statements in accordance with YGC Corporate Services, Inc. (YGC CSI) financial procedures.

  11. Special Projects

  12. Providing efficient and responsive administrative support for various administrative tasks and special projects as needed.

  13. Others

  14. Handle other assignments to be given by the EVP or head of office

Qualifications:

  • Candidate must be a college graduate
  • Should have at least five (5) years of experience as Executive Secretary of a Senior Executive
  • With good oral and written communication skills for interacting with various stakeholders
  • Ability to manage time effectively and prioritize tasks to meet deadline
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Mature; can make decisions and judgement call. Has the ability to identify and resolve issues effectively and proactively.
