We are seeking an experienced Administrative Operations Manager to join our team at WHR Global Consulting.

The successful candidate will be responsible for ensuring the smooth operation of our internal systems, managing staff and clients, and maintaining compliance with company policies and legal standards.

Key Responsibilities:

  • Compliance Management: Ensure 201 file compliance and manage documents effectively.
  • Client Relationship Management: Represent the company to international clients, requiring strong written and verbal communication skills.
  • Scheduling and Timeline Management: Create and maintain a monthly calendar of duties, holding yourself and direct reports accountable to deadlines.
  • Infrastructure Development: Develop and integrate new software to manage company growth, including knowledge of building company infrastructure, SOPs, and data management.
  • Payroll and Leave Management: Manage payroll, track overtime, leave credits, and ensure compliance with labor laws.
  • Software Maintenance: Maintain and update software systems, including Click-Up, JobAdder, and Excel databases.
  • Databases and Reporting: Create and manage additional company databases to enhance internal operations and provide valuable insights.
  • Shift Coverage: Align with US daytime hours to cover shifts as needed.
  • Collaboration and Communication: Work closely with Accounting and Legal teams to ensure seamless collaboration.
  • Candidate Sourcing and Onboarding: Utilize JobAdder to source candidates, track applicants, and onboard new staff through New Hire Orientation.
  • Staff Management: Properly assign tasks, hold staff accountable to deadlines, and manage internal staff that report directly to you.
  • BPO Experience: Manage staff as they report to different clients and handle varied issues.
  • Internal Policy and Compliance: Monitor adherence to internal policies and legal standards, addressing grievances and violations when necessary.

Requirements:

  • Strong Communication Skills: Excellent written and verbal communication skills for effective client relationship management.
  • Organizational Skills: Ability to create and manage multiple calendars, prioritize tasks, and meet deadlines.
  • Technical Skills: Proficiency in Microsoft Office Suite, particularly Excel, and experience with database management.
  • Leadership Skills: Proven ability to lead and manage staff, providing guidance and support as needed.
