About the role

We are seeking an experienced and proactive Executive Secretary to provide high-level administrative and secretarial support to our senior executives at Landlite Philippines Corporation, based in Paranaque City Metro Manila. This is a full-time role with the opportunity to be part of a dynamic and growing organization.

What you'll be doing

  • Providing comprehensive executive-level secretarial and administrative support, including schedule management, coordinating meetings and events, and handling sensitive and confidential information.
  • Preparing high-quality business correspondence, reports and presentations on behalf of senior executives.
  • Managing the flow of information and communication between executives, internal teams and external stakeholders.
  • Organizing and maintaining filing systems, both physical and electronic, to ensure efficient retrieval of information
  • Assisting with travel arrangements, expense reporting and other ad hoc administrative duties as required
  • Contributing to the smooth running of the office and supporting the wider administrative team as needed
  • Provides research and analytical support, including technical correspondence.

What we're looking for

  • Significant experience (3+ years) as an executive-level secretary or personal assistant, ideally within a fast-paced, professional environment
  • Excellent communication and interpersonal skills, with the ability to interact confidently with people at all levels of the organization. Chinese speaking is an advantage but not required.
  • Systematic and strong organizational and time management skills, with the ability to prioritize effectively and work to tight deadlines
  • Proficient in the use of MS 365 (Teams, Outlook, SharePoint, Word, Excel and PowerPoint, etc.)
  • Highly discreet and able to handle sensitive information with the utmost confidentiality.
  • Trustworthy, honest and with high regard to integrity
  • A proactive, adaptable and solution-oriented approach to work
