Position Overview
The Executive Secretary will provide comprehensive executive, administrative, and technical support to the Owner of the company. This role goes beyond routine secretarial tasks, requiring a professional who can anticipate the Owner's needs, ensure smooth business operations, and demonstrate technical understanding of the company's core business in aluminum glass, windows, and doors.
The position demands a high degree of discretion, organizational skills, initiative, and the ability to handle both confidential matters and technical business requirements.
Key Responsibilities
Executive Support
- Manage the Owner's daily schedule, meetings, and appointments.
- Prepare reports, correspondence, presentations, and business documentation.
- Handle confidential files and communications with utmost professionalism.
- Serve as the primary liaison between the Owner and internal/external stakeholders.
- Coordinate travel arrangements, events, and logistics for business and personal requirements.
Administrative Management
- Draft and review contracts, proposals, quotations, and official letters.
- Monitor and organize business files, project records, and regulatory documents.
- Support the preparation of board meetings, management reviews, and project status updates.
- Track deadlines, follow-ups, and deliverables across multiple departments.
- Maintain office systems and ensure timely renewal of permits, licenses, and accreditations.
Technical & Business Support
- Review and understand project drawings, quotations, and specifications related to aluminum glass, window, and door supply and installation.
- Assist in coordinating project requirements with engineering, sales, and installation teams.
- Conduct initial review of supplier quotations, proposals, and technical submittals before presenting to the Owner.
- Prepare comparative reports and highlight key technical and commercial points for decision-making.
- Monitor project milestones and provide the Owner with timely progress updates.
- Liaise with clients, consultants, and contractors to ensure project communications are aligned.
Qualifications
- Bachelor's degree in Business Administration, Office Management, Engineering, Architecture, or related field.
- At least 3–5 years of experience as an Executive Secretary, Executive Assistant, or similar role, preferably in the construction or building materials industry.
- Strong organizational and multitasking skills with keen attention to detail.
- Excellent communication skills (oral and written) in English and Filipino.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and basic project management tools.
- Ability to read and understand technical drawings, specifications, and BOQs (Bill of Quantities).
- Demonstrated integrity, professionalism, and ability to maintain confidentiality.
- Highly resourceful, proactive, and capable of working with minimal supervision.
