We are looking for a highly organized and dependable Executive Secretary to support the Vice President of the Support Services Group. The ideal candidate will be responsible for managing day-to-day office tasks, handling confidential correspondence, coordinating schedules, and ensuring the smooth flow of communications and documents within the departments under Support Services Group.

About the role

  1. Receive phone calls, take messages, and manage correspondence on behalf of the VP.
  2. Coordinate with department representatives for documents requiring the VP's review and approval.
  3. Track, monitor, and manage approved documents efficiently.
  4. Respond to internal and external inquiries with professionalism.
  5. Schedule and arrange meetings, including preparation of materials and taking minutes.
  6. Draft memorandums and directives from the VP.
  7. Organize and produce reports and manage data for the Support Services Group.
  8. Process documents via the NOAH Business Application system.
  9. Prepare and distribute internal and external documents, such as memos, letters, and reports.
  10. Maintain and regularly update both electronic and paper filing systems.
  11. Handle all confidential information with utmost discretion.
  12. Perform other related tasks as assigned by the VP from time to time.

Qualifications

  1. Bachelor's Degree in Mass Communication, Business Administration, Office Administration, or any related field.
  2. Preferably with three (3) years' experience in a similar executive support or secretarial role.
  3. Excellent multi-tasking and time management skills
  4. High-level interpersonal and communication abilities
  5. Assertive and proactive in task execution
  6. Strong proficiency in Microsoft Office tools (Excel, Word, PowerPoint)
  7. Service-oriented and customer-focused
  8. Professional discretion and integrity in handling sensitive matters
