The Executive Secretary provides high-level administrative support to senior executives, ensuring efficient operation of the office. This role involves managing schedules, coordinating meetings, handling confidential correspondence, and performing a variety of administrative and clerical tasks. The Executive Secretary serves as the primary point of contact between executives and internal/external stakeholders, maintaining professionalism and discretion at all times.

Key Responsibilities:

  • Manage and maintain executive schedules, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Handle confidential and sensitive information with discretion.
  • Coordinate meetings, conferences, and events, including agenda preparation and minute-taking.
  • Serve as a liaison between executives and staff, clients, or external partners.
  • Screen phone calls, emails, and other communications; prioritize and respond as appropriate.
  • Maintain organized filing systems (digital and physical).
  • Monitor and manage office supplies, budgeting, and administrative expenses.
  • Support the preparation of board materials, reports, and presentations.
  • Perform research and compile data for decision-making purposes.
  • Assist in project management and follow up on pending matters.

Qualifications and Skills:

Education:

  • Bachelor's degree in Business Administration, Office Management, or related field preferred.

Experience:

  • 3–5 years of experience as an Executive Secretary, Executive Assistant, or similar administrative role.

Skills:

  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other office software.
  • Excellent attention to detail and accuracy.
  • Ability to handle multiple priorities and meet deadlines under pressure.
  • High level of professionalism, discretion, and confidentiality.
  • Strong interpersonal and problem-solving skills.

Working Conditions:

  • Full-time position, often requiring flexibility for extended hours.
  • Office-based with occasional travel or off-site meetings.
