Job Requirements:

Executive Support

  • Oversee and optimize executive calendars, ensuring seamless scheduling of meetings, appointments, and travel accommodation and itineraries.
  • Manage incoming communications by screening and prioritizing emails, calls, and correspondence to streamline decision-making.
  • Draft, revise, and format high-quality documents, presentations, and reports for both internal and external audiences.
  • Coordinate all aspects of meeting logistics, including agenda preparation, minute-taking, and follow-up actions.
  • Uphold strict confidentiality and demonstrate professionalism in handling sensitive information.

Communication & Liaison

  • Act as the primary liaison between the executive and internal teams, clients, and external stakeholders.
  • Compose and respond to communications on behalf of the executive, maintaining tone and intent.
  • Promote effective cross-functional collaboration and ensure consistent messaging across departments and partners.

Administrative & Operational Support

  • Maintain organized systems for files, records, and documentation to ensure easy access and compliance.
  • Provide support in project coordination, including timeline tracking and milestone management.
  • Assist with expense reporting, budget monitoring, and financial documentation.
  • Execute general office tasks to ensure smooth day-to-day operations and executive efficiency.
  • Support the marketing team and actively participate in company marketing initiatives to contribute to brand awareness, client engagement, and promotional campaigns.
  • Perform ad hoc tasks as assigned to support the company's operational and strategic needs.

Job Qualifications:

  • Bachelor's degree in Business Administration, Management, or any related field.
  • 5+ years of experience as an Executive Assistant, Executive Secretary, or Department Secretary.
  • Exceptional written and verbal communication skills.
  • Strong knowledge of administrative and office management practices.
  • Excellent organizational, time-management, and multitasking abilities.
  • Strong organizational and multitasking skills.
  • Discretion and confidentiality are essential.
  • Acts with initiative and responsibility, approaching challenges with an owner's mindset.

Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), calendar management tools, and collaboration tools (e.g. Zoom, Teams, Google Workspace)
  • Familiarity with project management tools (e.g., Asana, Trello, ).
  • Excellent communication and interpersonal skills.
  • Good command of the English language, both oral and written, with the ability to convey information clearly and professionally to clients.
  • High level of integrity and professionalism.
  • Customer-focused.
  • Resourceful, creative, detail-oriented, and organized, with the ability to meet deadlines efficiently.
  • Innovative mindset and a passion for continuous learning.
