What is your mission?
We are looking for a proactive and detail-oriented Executive Assistant to support U.S.-based executives in managing calendars, meetings, communications, and reports. This role requires strong organization, time management, and communication skills, along with proficiency in MS Office and business tools. If you excel at coordination, accuracy, and follow-through, we'd love to have you on the team.
You will provide the best service to our partner brands by performing these tasks:
- Manage executive calendars, meetings, events, and communications with accuracy and timeliness.
- Coordinate recurring company events, offsites, and meetings (EL, OL, All Hands, etc.).
- Prepare and submit expense reports, dashboards, and KPI updates on schedule.
- Support relationship-building through handwritten notes and team recognition tracking.
- Gather and organize content for Monday sync meetings and ensure agenda completion.
- Handle travel arrangements and ensure compliance with policy and preferences.
- Record minutes, prepare agendas, and follow up on meeting action items within 24 hours.
- Manage executive inboxes, prioritize emails, and maintain organized communications.
- Provide general administrative support, including scheduling, file management, and reporting.
Who are we looking for?
- High school diploma required.
- 3–5 years of experience as an Executive Assistant supporting senior executives.
- Proficiency in Microsoft Office Suite and SharePoint.
- Experience using HR or finance tools such as Concur, NetSuite, Namely, Leapsome, Power BI, or Salesforce.
- Familiarity with calendar management, meeting preparation, and expense reporting.
- Strong organizational, multitasking, and time management skills.
- Excellent written and verbal communication abilities.
- High attention to detail and ability to maintain confidentiality.
- Proven experience taking meeting minutes, preparing summaries, and managing follow-ups.
- Comfortable working across time zones with U.S.-based teams.

Pay: Php100, Php120,000.00 per month
