Onsite Job – Paraplanner/Office Manager

Location: Clark, Philippines

IVCM Services Inc (IVCM) is a third-party administration services team based in Clark, Philippines. We specialize in providing business process outsourcing (BPO) services to international clients. Our expertise includes customer engagement, document management, and administrative support. As part of our continued growth, we are looking for Paraplanner/Office Manager to join our team.

This role requires a Financial Planning Paraplanner/Office Manager to provide quality day to day support to the financial planner (and other staff members), along with various Paraplanning duties. This position requires a highly motivated and competent person who can learn quickly and be proactive managing clients.

The role will require paraplanning services to assist with the preparation of statements of advice for client strategies, and then managed staff with the administration services to implement such strategies.

In addition, this position will monitor and administer client portfolios, and as such requires a competent person with excellent numeracy skills and attention to detail. The successful candidate will not be performing any trading or creating investment portfolios, however will need to have experience in assisting with reviewing, reporting and rebalancing client investment portfolios.

The role will involve direct communication with clients so excellent communication skills and attention to detail is key.

Key Responsibilities include:

● Coordinate and manage the delivery of advice to clients.

● Oversee the book of work and manage staff to ensure efficient delivery of advice and implementation of solutions.

● Preparing compliant, personalised Statements of Advice at a quality level for new and existing clients

● Provide exceptional administrative support to the staff and business through all areas of the advice, implementation and ongoing service process

● Monitor client investment portfolios to ensure they remain in line with recommended asset allocation

● Prepare recommendations for the adviser on any changes needed and prepare records of advice.

● Determine any accounts that need rebalancing and recommend actions.

● Prepare Quarterly/Annual client performance reports

● Prepare annual service agreements and fee disclosure statements

● Preparation of documents, reports and forms for client meetings

● Updating Xplan

● Communicating with clients

● Liaising (phone and email) with product providers – insurance, super and investment platforms – this includes UK Pension companies

● Implementation of advice strategies, including preparation, lodgement and tracking of applications

● Monitor and record the advice process, documentation and record keeping to ensure compliance with standards and regulations (eg Record Keeping, FDS and Service Agreements, File notes etc)

● Make appointments for Financial Planners with new/existing clients & send required confirmation documents & communications to all parties.

● Update and maintain the client Work in Progress log/CRM tool )

● Reconcile fees and commissions

● Answer and direct phone calls.

● Perform general administrative duties to support the organisation and its clients

Skills:

● Strong attention to detail and accuracy

● Excellent communication skills (written and verbal)

● Above average grades and ability to understand and apply Australian finance regulations and concepts.

● Ability to manage multiple tasks efficiently and autonomously

● Have a sound understanding of financial planning concepts and strategies

● Advanced knowledge of Excel

● XPLAN experience

● Be a motivated, enthusiastic person who shows initiative and works effectively in team environment

● Excellent time management skills and ability to meet strict deadlines for multiple tasks efficiently and autonomously

Qualifications:

● Bachelor of Commerce or Diploma of Financial Planning (or equivalent)

● RG146 Qualified (preferrable but not mandatory)

Experience:

● At least 5 years previous experience working in Australian financial planning and superannuation

● Portfolio management experience

● SMSF experience (preferrable but not mandatory)

Technology:

● Xplan

● Microsoft Excel

● CRM/Project management tool (such as salesforce, etc) would be beneficial but not essential

Working Schedule:

  • Days: Monday to Friday
  • Hours: 6:00 AM – 3:00 PM or 7:00 AM – 4:00 PM
