Key Responsibilities:
  • Executive Support:
    • Manage the CEO's diary, scheduling meetings and coordinating travel arrangements.
    • Prepare, edit and manage correspondence, communications, presentations and other documentation on behalf of the CEO.
    • Organise and facilitate meetings, including preparing agendas, taking minutes and ensuring follow-up on action points.
    • Act as a liaison between the CEO and internal/external stakeholders, ensuring clear communication and efficient workflow.
  • Company Coordination:
    • Organise and coordinate company-wide events, such as meetings, workshops, team-building activities and company celebrations.
    • Support HR-related functions, including onboarding new employees, managing office supplies and maintaining employee records.
    • Assist in the development and implementation of company policies and procedures.
    • Coordinate cross-functional projects, ensuring deadlines are met and communication is seamless.
  • Office Administration:
    • Manage day-to-day office administration tasks, including handling communications, screening calls and managing incoming/outgoing correspondence.
    • Assist in budget tracking, expense reporting and financial documentation for the office.
    • Maintain company records, files and documentation, ensuring all information is up to date and accessible.
  • Special Projects:
    • Support the CEO with special projects, including research, analysis and coordination of key initiatives.
    • Coordinate with external vendors and service providers to ensure smooth operations and maintain strong working relationships.
    • Participate in continuous improvement initiatives to enhance office productivity and efficiency.
Qualifications:
  • Education: Bachelor's degree in Business Administration, Office Management or a related field.
  • Experience: 3-5 years of experience in an executive assistant or office coordinator role, ideally supporting senior management in a corporate environment.
  • Skills:
    • Strong organisational and multitasking abilities.
    • Excellent written and verbal communication skills.
    • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
    • Ability to handle confidential information with discretion.
    • Strong problem-solving skills and attention to detail.
    • Ability to work effectively with diverse teams and manage relationships across all levels of the organisation.
    • Familiarity with office management systems and procedures.
