Executive Assistant

Seeking highly organized and detail-oriented Executive Assistant to provide top-level administrative support to CEO and senior executives. The ideal candidate will have 3-5 years of experience in a similar role, excellent communication skills, and proficiency in Microsoft Office Suite. Responsibilities include calendar and meeting management, communication and correspondence, project management support, travel and event coordination, office management, and financial and expense management. Key skills include organizational, multitasking, and time-management abilities, with a keen attention to detail and ability to work in a fast-paced environment. The successful candidate will be proactive, resourceful, discreet, and adaptable, with a strong work ethic and ability to take ownership of tasks and responsibilities. **Responsibilities:**
* **Calendar and Meeting Management:**
• Manage daily, weekly, and monthly schedules of CEO, coordinating meetings, appointments, and travel arrangements.
• Organize and prioritize communication and meetings, ensuring CEO's time is effectively allocated.
• Prepare meeting agendas, take meeting minutes, and follow up on action points from meetings.
* **Communication and Correspondence:**
• Screen, prioritize, and respond to emails, phone calls, and other forms of communication on behalf of CEO.
• Draft letters, memos, and other documents for executive communication.
• Act as point of contact between CEO and internal/external stakeholders.
* **Project Management Support:**
• Assist with special projects as assigned by CEO, including coordinating tasks and timelines.
• Perform research, compile data, and prepare reports and presentations for executive meetings and projects.
• Track progress and ensure deadlines are met for key projects and initiatives.
* **Travel and Event Coordination:**
• Plan and organize business trips, including booking flights, accommodations, and transportation.
• Manage and organize executive events, conferences, and speaking engagements.
* **Office Management:**
• Handle day-to-day administrative tasks, including filing, organizing, and maintaining office supplies and documents.
• Liaise with internal departments and external contacts to ensure smooth running of office operations.
• Maintain confidentiality of sensitive information and ensure compliance with corporate policies.
* **Financial and Expense Management:**
• Assist in managing executive's personal and business finances, including preparing and reconciling expense reports.
• Monitor budgets and financial reporting for specific projects or events as required.
