High-level administrative support is required for the CEO and senior executives, involving research, report preparation, and clerical duties.

The Executive Assistant will act as a gatekeeper, managing the executives' time and resources while maintaining confidentiality and professionalism.

Key Responsibilities:

  • Calendar and Meeting Management:
    • Manage daily, weekly, and monthly schedules, coordinating meetings, appointments, and travel arrangements.
    • Organize and prioritize communication and meetings to ensure effective time allocation.
    • Prepare meeting agendas, take minutes, and follow up on action points.
  • Communication and Correspondence:
    • Screen, prioritize, and respond to emails, phone calls, and other forms of communication on behalf of the CEO.
    • Draft letters, memos, and other documents for executive communication.
    • Act as a point of contact between the CEO and internal/external stakeholders.
  • Project Management Support:
    • Assist with special projects, coordinating tasks and timelines.
    • Perform research, compile data, and prepare reports and presentations for executive meetings and projects.
    • Track progress and ensure deadlines are met for key projects and initiatives.
  • Travel and Event Coordination:
    • Plan and organize business trips, including booking flights, accommodations, and transportation.
    • Manage and organize executive events, conferences, and speaking engagements.
  • Office Management:
    • Handle day-to-day administrative tasks, including filing, organizing, and maintaining office supplies and documents.
    • Liaise with internal departments and external contacts to ensure smooth office operations.
    • Maintain confidentiality of sensitive information and ensure compliance with corporate policies.
  • Financial and Expense Management:
    • Assist in managing the executive's personal and business finances, including preparing and reconciling expense reports.
    • Monitor budgets and financial reporting for specific projects or events as required.

Required Skills and Qualifications:

  • Education: Bachelor's degree in business administration, management, or a related field preferred.
  • Experience: 3-5 years of proven experience as an Executive Assistant or in a similar role supporting senior executives.
  • Skills:
    • Excellent organizational, multitasking, and time-management abilities.
    • Strong written and verbal communication skills, with a keen attention to detail.
    • Ability to work in a fast-paced environment and handle confidential information discreetly.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
