We are looking for a Home-Based Office Assistant to join a fast-growing U.S.-based healthcare business. In this role, you'll handle caregiver scheduling, onboarding, and staffing coordination to ensure every shift is covered and every patient receives the care they deserve.

WHAT YOU WILL DO

● Assists in the hiring process: recruiting, interviewing, onboarding (docs collection)

● Assists with setting up orientation (in office or on site)

● Ensures hiring criteria- maintains regulatory requirements of Caregiver applicants

● Follow up potential new hires- ensure offer acceptance, completion of onboarding

● Ensures collection of Employee references

● Communicates with Administration, Nursing Department re hiring searches

  • Determine specialized services, skills needed for employment consideration
  • Updates JOBS on hiring platforms every 10 days to 2 weeks according to needs

● Communication Weekly with HR Director or sooner via agreed methods if needed

  • Discuss processes, progress, review potential hires, onboarding candidates, changes, updated policies, new laws, etc.
  • Advise any Employee questions, grievances, concerns, disciplinary infractions

● Maintains all regulated documentation is current and on file in Employees personnel file

● Excellent Scheduling and Time Management Skills

  • Efficiently Schedule Client Care with appropriate Caregivers
  • Provide quick, complete responses to Employee and Client scheduling questions
  • Manage scheduling to optimize use of Caregiver availability and minimize OT
  • Timely provide reassignment for late, call out or no show Caregivers
  • Collaborate with Admin, scheduling coordinator to incentivize hard to fill shifts

● Communication Weekly with Scheduling Coordinator and sooner if needed

  • Discuss Hiring Needs, Scheduling Logistics
  • Discuss Exemplary Caregivers- strategies to promote best company experience
  • Discuss Problematic Caregivers- strategies to improve performance or attendance

● Knowledge of and Implementation of Company Policies and Procedures

  • Implement Caregiver Scheduling Policies
  • Manage Monthly "Must Shifts" Caregiver Calendar
  • Must Shift: On Call requirements
  • Must Shift: Weekend, Evening Shifts requirements
  • Assist Scheduling to calculate and list PTO
  • Evaluate requirements met, assist Scheduling Coordinator with Employee Bonuses
  • Monitor and support correct Caregiver hours/scheduling adherence/ADLs documentation
  • Quantify quarterly Caregiver retention rates using NIHCA accreditation template
  • Maintain responsibilities as NJ BON DCA, NIHCA Accreditation audit ready at all times
  • Monitor, maintain and update company QI Project spreadsheet as relevant to job role
  • Log Employee Demographics, Reviews on QI Project Spreadsheet as directed
  • Assign and collect required Employee Inservices on time and in good standing
  • Manages written requests for planned time off according to company policy
  • Schedule disciplinary meetings or administrative encounters as needed

● Manage Positive Employee and Client Communication and Relationships:

● Critical Analysis of Client Needs and Caregivers Capabilities for Distribution and Care Provision

● Manage Scheduling of DON OR RN Care Coordinator – note calendar

● Responsible that Office Assistant tasks are accreditation and NJ State audit ready at all times

● Maintains strict HIPAA compliance and compliance with Ethical Practice

● Maintain real time hard copy scheduling data (spreadsheet, other) for emergency preparedness

● Manage event driven scheduling per policy, Client needs, designation and considering Staff

● Other duties as assigned and agreed up

  • Technical Skills:
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Skilled in Google Suite (Docs, Sheets, Gmail)
  • Experience using scheduling systems
