Job Overview

Team Sky Solutions is seeking a highly organized, proactive, and tech-savvy Executive Assistant to support two dynamic entrepreneurs across multiple businesses and brands (including Automotive/Security and Real Estate/Content).

This pivotal role blends high-level executive support, operations management, marketing coordination, and content creation. You will be instrumental in managing complex administrative tasks, driving digital marketing efforts, organizing data, and maintaining critical business systems.

  • Schedule: Full-Time, Monday–Friday, 8:00 AM – 5:00 PM EST (with a 1-hour lunch break).
  • Location: 100% Remote.

Key Responsibilities

You will manage two primary workloads in addition to core administrative tasks:

  1. AT Workload (Automotive & Security Business Support)

  2. Financial & Admin: Create and send QuickBooks invoices; manage and track vendor invoices (e.g., United Rentals); manage COI tracking.

  3. Marketing & CRM: Manage company social media presence (Instagram, Facebook, TikTok, YouTube, LinkedIn).
  4. Content Creation: Create engaging short-form video content (reels), carousels, and visual posts.
  5. Lead Management: Maintain CRM (1,000+ contact list), execute email marketing campaigns, and track/follow up with fleet leads bi-annually.
  6. System Maintenance: Organize and maintain marketing materials and wiring instructions on Google Drive.
  7. Communication: Monitor and respond to email inquiries; maintain executive calendars. (Future: Handle incoming calls via Google Voice).

  8. CK Workload (Real Estate & Content)

  9. Asset Management: Assist in crucial asset management tasks (occupancy reports, delinquency tracking, maintenance summaries, leasing leads, utility billbacks).

  10. Real Estate Support: Support underwriting (data entry, document organization, initial analysis); manage broker database and outreach coordination; assist with Non-profit accounting duties (Treasurer role for Infinite Impact).
  11. Content & PR: Create and schedule social media posts; write and edit articles for publication; monitor HARO for PR opportunities.
  12. Video Coordination: Manage the "Inflection Point" video series (Calendly scheduling, guest booking, editing, and posting to YouTube).
  13. Event Coordination: Coordinate real estate networking events (guest list, speaker/sponsor outreach, marketing assets).
  14. Project Development: Create, research, and refine pitch decks.
  15. Learning & Summarization: Watch industry webinars and provide concise, summarized notes.

  16. Personal & Business Administration

  17. Compliance: Maintain Google Sheets tracking insurance policies, LLCs, licenses, and renewal dates.

  18. Financial Tracking: Track CPA deadlines for tax returns and quarterly tax payments.
  19. Reporting: Submit a Daily Accomplishment Report detailing tasks completed. (Future: Assist with Financial Audits).

What We're Looking For Required Skills & Experience

  • Experience: 2+ years of experience as an Executive Assistant, Operations Coordinator, or Marketing Coordinator.
  • Software Proficiency: Highly proficient in QuickBooks, Google Workspace (Sheets, Drive, Docs, Calendar), and CRM tools (Mailchimp, HubSpot, or similar).
  • Content & Design: Expert proficiency in Canva and strong graphic design skills.
  • Reels, carousels, captions, and hashtags.
  • Short-form video editing and publishing.
  • Working knowledge of LinkedIn content creation and ghostwriting.
  • Communication: Excellent written communication skills for emails, captions, and article drafting.
  • Bookkeeping & Data: Light bookkeeping skills (invoice management, payment tracking, vendor follow-up) and the ability to run and organize reports (Advanced Excel/Google Sheets savvy).
  • Key Attributes: Extremely organized, proactive, and detail-oriented.
