Medical Virtual Assistant (Mental Health Background)

Work Setup: Remote (Full-Time)

Schedule: US Hours (with flexibility based on client)

About the Role

We're looking for a compassionate and detail-oriented Medical Virtual Assistant with experience supporting mental health practitioners such as therapists, psychologists, psychiatrists, or counseling professionals.

You'll play a key role in ensuring clients receive the best possible care by handling administrative tasks, managing client communications, and maintaining accurate health records—all while demonstrating sensitivity to the emotional nature of mental health work.

Key Responsibilities

  • Manage and coordinate patient appointments, cancellations, and follow-ups
  • Handle intake forms, insurance verification, and telehealth scheduling (via EHR platforms like SimplePractice, TherapyNotes, or TheraNest)
  • Maintain and update electronic medical records (EMR/EHR) with accuracy and confidentiality
  • Respond to patient inquiries via email, chat, or phone with empathy and professionalism
  • Support billing coordination and claims tracking (if applicable)
  • Prepare session summaries, progress tracking, and referral documentation
  • Manage calendar syncing, reminders, and client communications for providers
  • Assist in managing practice reports, patient surveys, and outcome tracking
  • Ensure compliance with HIPAA standards and privacy regulations

Qualifications

  • Minimum 2 years of experience as a Medical VA, Medical Receptionist, or Healthcare Admin Assistant
  • With at least 1 year supporting mental health professionals or clinics preferred
  • Strong knowledge of EHR systems (SimplePractice, TherapyNotes, TheraNest, Jane, etc.)
  • Familiar with HIPAA compliance and confidentiality protocols
  • Excellent English communication skills (both verbal and written)
  • Exceptional organizational and multitasking skills
  • Empathetic, patient, and emotionally intelligent — able to handle sensitive client information with care
  • Comfortable working independently in a remote setup
  • Bonus: Background in Psychology, Nursing, or Mental Health Support Services

  • Reliable computer/laptop (i5 processor or higher, 8GB+ RAM)
  • Stable internet connection (at least 25 Mbps)
  • Backup power and connectivity options
