The Executive Assistant will provide comprehensive support to the high-level executive by managing overall operations, administrative tasks, and processes, facilitating effective communication and decision-making, and serving as a key partner in overseeing the business's content/marketing side.

Admin and Operations Tasks:

  • SOP creation and documentation of internal workflows (PRIORITY)
  • Inbox management (Gmail + LinkedIn via KONDO)
  • Calendar management and post-meeting follow-ups
  • Managing client lunches and light event coordination
  • Tracking metrics and reporting (LAPS and other business data)
  • Delegating tasks to Upwork contractors as needed
  • Acting as a "second brain" to help get things out of the client's head
  • Ensuring consistent execution of the client's tool organization project (playbooks, PDFs, resource libraries)

Content and Marketing Tasks:

  • Managing and executing content calendar (3-month rolling)
  • Organizing and scheduling posts from the past 10 years of content
  • Overseeing workshop promo cycles across LinkedIn, Eventbrite, and email
  • Ensuring thoughtful, human-sounding AI-generated posts (trained on the client's tone)
  • Collaborating with a video editor (IVA) to prepare video assets for YouTube, LinkedIn, etc.
  • Writing SEO-friendly YouTube descriptions, titles, and summaries using AI tools

Workshop and Funnel Management Tasks:

  • Creating SOPs for online workshop sequences
  • Managing LinkedIn events, Eventbrite listings, and CRM integration (GoHighLevel)
  • Coordinating landing pages, Stripe payment links, and email sequences
  • Reusing workshop content for marketing and lead generation
  • Leading the process from workshop idea → delivery → lead follow-up

Systems & Automations:

  • Collaborating with 2xYou's BOS team to map business processes
  • Documenting tool-based workflows for: G Suite, GoHighLevel, Kondo, Eventbrite, Opus.Pro, Fathom, Descript, etc.
  • Prioritizing and executing automation builds (with or via third-party experts)
  • Managing a list of "builds" and coordinating external help to get them done

Job Qualifications:

Education: College Level or Higher

Experience:

  • At least 18 months of experience as an Executive Assistant, Operations Manager, or Content/Project Coordinator supporting entrepreneurs or small teams.
  • Proven experience in SOP creation, documentation, and workflow management across business functions.
  • Experience managing content calendars, repurposing long-form content into social clips, posts, and email content.
  • Skilled in event and workshop coordination (setting up LinkedIn events, Eventbrite listings, and managing workshop logistics).
  • Hands-on experience with CRM tools and lead tracking/reporting (preferably GoHighLevel or similar).
  • Background in video editing collaboration (reviewing or preparing content with editors using Descript or ).
  • Experience managing executive inboxes and calendars (Gmail, LinkedIn, and G Suite tools).
  • Comfortable working in fast-paced, operations-heavy environments with minimal supervision.
  • Willingness and availability to work on the morning shift (Sydney Time) to align with the client's time zone.

Salary Range is: Php30,000-33,000 per month (depending on experience)
