  • Provide comprehensive administrative support to both staff and management.
  • Manage calendars, schedule meetings, and coordinate room bookings efficiently.
  • Maintain and organize office records, files, and key documentation.
  • Coordinate travel arrangements, including accommodations and expense reporting.
  • Handle incoming and outgoing correspondence and packages.
  • Oversee the maintenance and upkeep of office premises, equipment, and utilities.
  • Liaise with service providers, contractors, and landlords for office repairs and improvements.
  • Ensure compliance with health, safety, and building regulations at all times.
  • Manage office access control systems and enforce security procedures.
  • Coordinate workspace allocation and support office moves or reconfigurations.
  • Monitor and maintain inventory levels of office supplies; initiate reorders as needed.
  • Negotiate with vendors and service providers for supply needs and maintenance contracts.
  • Manage procurement processes for office equipment, furniture, and materials.
  • Assist in the preparation of budgets related to facilities and administrative functions; track expenses and submit regular reports to finance or management.
  • Act as the primary point of contact for employee facility-related queries.
  • Support onboarding of new hires by arranging workstations, access cards, and orientation materials.

Qualifications and requirements for the Admin and Facilities Specialist to thrive in the role in Manila:

  • Must have prior experience in a BPO setting as an Admin & Facilities as Support/Assistant/Specialist or in a similar capacity.
  • Minimum of 2 years of relevant experience in administrative support or facilities management.
  • Proficient in MS Office Suite (Word, Excel, Outlook, etc.).
  • Strong interpersonal skills and effective written communication.
  • Demonstrated ability to multitask and prioritize work in a dynamic environment.
  • Excellent problem-solving skills and a proactive mindset.
  • Willing to work on-site with flexibility for shifting schedules.
  • Must be available to start immediately.
