Job Description
As a Facilities and Admin Associate, you will manage front desk operations, coordinate facilities and logistics, oversee vendors, and support administrative functions. Your role ensures efficiency, safety, and a world-class workplace experience for employees, clients, and visitors alike.

The Qualifications We Seek
- Graduate of Hospitality Management, Business Administration, Tourism, Logistics, or related field
- 2 to 4 years of relevant work experience
- Experience booking transportation via platforms like Transportify, Grab, Lalamove, LBC, etc.
- Experience handling travel arrangements (flights, hotels, transportation)
- Excellent English communication skills (written and verbal)
- Willingness to work on night shifts, rotating schedules, weekends, and holidays
Your Daily Tasks
Front Desk Management:
- Track and maintain visitor access, ensuring security and safety awareness (visitor log sheets, contact tracing).
- Monitor the corporate main entry/lobby, greet guests, and direct visitors to appropriate personnel.
- Answer inquiries through various communication channels and ensure a clean, safe reception area.
- Address client and staff concerns regarding facilities and administration.
Facilities Coordination and Management:
- Maintain office, furniture, and pantry inventory.
- Organize and assist with conference/meeting room bookings and setup.
- Liaise with CXM, HRBP, Utilities/Maintenance Staff, and Building Administrators.
- Support facility movements, seating plans, and maintenance coordination.
- Implement Health and Safety Protocols and maintain Safety Seal Certification.
Administrative:
- Maintain organized filing systems for the department.
- Provide administrative support to TL, CXM, and HRBP.
- Submit timely reports (Petty Cash, GCs, Office Supply Requests, Inventory).
- Prepare monthly Facilities and Admin Monitoring Reports.
Logistics and Asset Management:
- Coordinate dispatch and recovery of IT equipment.
- Ensure compliance with asset policies and manage asset trackers.
- Coordinate with Recruitment, IT, and logistics providers for deliveries and recoveries.
- Submit weekly reports on dispatches, recoveries, and costs.
Risk Management:
- Identify workplace risks and hazards, escalating to managers/security as needed.
- Support implementation of risk management processes.
Vendor Management:
- Liaise with utilities staff, building administrators, contractors, and suppliers.
- Arrange maintenance, repairs, and sanitation.
- Assist in procurement of vendors and services.
- Ensure compliance with budgets and manage costs.
Other Responsibilities:
- Perform administrative or non-administrative duties assigned by company representatives.
