Admin, Facilities and Procurement Specialist

About the Role:
We are looking for an Admin, Facilities & Procurement Specialist to manage procurement, vendor relations, and contract compliance while supporting facilities upkeep and office administration. You'll play a key role in ensuring smooth daily operations, a compliant and safe workplace, and reliable vendor partnerships.
Key Responsibilities:
- Handle end-to-end procurement: supplier sourcing, comparative evaluation, due diligence, contract management, spend papers, and compliance reporting.
- Coordinate with vendors and contractors for facilities and property management, including repairs, preventive maintenance (facilities and company vehicles), safety compliance, and office equipment monitoring (inventory, tagging, condition assessment, disposal).
- Act as liaison between vendors and outsourcing unit to ensure proper coordination, validation, and compliance.
- Provide administrative support: scheduling, document preparation, office records management, office supplies monitoring, processing vendor payments, and coordinating timekeeping of utility staff and messengers.
- Handle renewals of insurance and OR/CR for company-issued cars.
- Support event logistics for company activities and employee engagement programs.
Qualifications:
- College graduate with proven experience in procurement, admin support, and/or facilities management.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Organized, detail-oriented, and able to manage multiple priorities.
- Strong verbal, written communication and interpersonal skills.
- Knowledge of building systems and maintenance procedures is an advantage.
