Role Description
This is a full-time remote role for an Admin & Facilities Manager. The Admin & Facilities Manager will oversee day-to-day general administration, manage facilities, ensure effective communication, handle office administration, and manage budgeting tasks. The role requires coordinating with various teams to ensure smooth operations, maintaining facility standards, and implementing administrative policies and procedures.

Key Responsibilities

Administrative & Compliance Management

  • Ensure compliance with
    PEZA
    ,
    business permits
    , and other regulatory requirements.
  • Oversee
    renewal of permits and licenses
    for the organization and its facilities.
  • Manage compliance with
    OSH
    (Occupational Safety and Health) and
    DENR
    (Department of Environment and Natural Resources) regulations.
  • Maintain and update documentation required for audits and inspections.

Facilities Management

  • Supervise office and facility maintenance, repairs, and vendor coordination.
  • Ensure a safe, secure, and efficient work environment for all employees.
  • Manage office supplies, equipment, and physical assets.

Travel Desk (Philippines)

  • Manage
    end-to-end travel logistics
    , including flight bookings, hotel accommodations, and transportation arrangements for visiting employees, executives, and guests.
  • Ensure cost-effective and efficient travel coordination aligned with company policies.

Clinic and Nurse Services Management

  • Oversee the
    transition of healthcare operations
    from HR to Admin & Facilities.
  • Manage
    day-to-day clinic operations
    , ensuring proper staffing, equipment maintenance, and coordination with healthcare providers.
  • Ensure compliance with relevant health and safety standards.

Qualifications

  • Bachelor's degree in Business Administration, Management, or related field.
  • 3–5 years of experience
    in administrative or facilities management.
  • Strong background in
    PEZA compliance, permits, OSH, and DENR requirements
    .
  • Excellent
    organizational, coordination, and communication
    skills.
  • Proactive, detail-oriented, and capable of managing multiple priorities.
  • Flexible to work in a
    dynamic, fast-paced environment
    with occasional adjustments to align with
    US business hours
    .
