Operations Coordinator – Facilities

We're looking for an Operations Coordinator with experience in facilities management or cleaning services. This is a remote, office-based role focused on supporting our operations team through efficient administration, scheduling, and process management.
What You'll Do:
You'll play a vital role in the day-to-day coordination and administration of our cleaning and facilities operations:
- Coordinate Service Schedules: Manage rosters, track attendance, leave and additional hours.
- Optimize Processes: Create, refine, and improve operational plans, workflows, and site-specific checklists.
- Administrative Support: Handle documentation, data entry, and maintain accurate records across systems (CleanSmarts, HubSpot, Xero).
- Order & Inventory Management: Coordinate supply orders, uniforms, and equipment for cleaning teams.
- Support Facility Operations: Handle service requests (e.g., lift/curtain installations), manage missed bin reports, and prepare client reports (iAuditor, monthly updates).
- Facilitate Communication: Serve as the professional go-between for clients and internal teams via email, chat, and meetings to ensure seamless operations.
What We're Looking For
- Experience in facilities management, cleaning operations, or property services (required).
- Strong organization skills and high attention to detail.
- Excellent written and verbal communication skills.
- Ability to multitask and manage competing priorities.
- Self-starter who works well independently and takes full ownership of tasks.
- Proficiency in MS Office and systems such as CleanSmarts, HubSpot, or Xero (preferred).
