We are seeking an organized, detail-oriented, and client-focused Operations Manager to support a real estate team in managing daily operations, marketing activities, and client coordination. This role requires excellent communication skills, the ability to manage multiple priorities, and a proactive mindset to streamline processes and enhance the client experience.

Key Responsibilities

Client Coordination

  • Serve as the main point of contact for clients, ensuring smooth communication and consistent updates.
  • Coordinate showing schedules, inspections, staging, and photography appointments.
  • Track contract deadlines and liaise with title companies, lenders, inspectors, and contractors.
  • Send reminders, checklists, and progress updates to clients as directed by the agent.

CRM & Systems Management

  • Maintain and update client records in Compass CRM (or Brevity), including pipelines, referrals, and follow-up systems.
  • Monitor task progress and business metrics through CRM dashboards.
  • Develop and maintain Standard Operating Procedures (SOPs) to improve business efficiency.
  • Prepare reports on performance, lead conversion, and productivity.

Marketing & Client Nurturing

  • Manage property marketing materials including photography, videography, virtual staging, print pieces, and MLS listings.
  • Oversee the creation and distribution of postcards, flyers, and digital campaigns.
  • Build and maintain automated drip campaigns in Compass CRM for lead nurturing and client engagement.
  • Ensure all marketing and communication materials maintain consistent branding.

Event & Vendor Coordination

  • Support the planning and execution of open houses, community events, and client appreciation activities.
  • Coordinate logistics with vendors (stagers, photographers, contractors, etc.).
  • Manage scheduling and logistics for networking dinners, masterminds, and sponsorships.

Experience and Proficiency

  • Strong client-facing communication and relationship management skills.
  • Proven background in operations, project management, or executive support (real estate experience preferred).
  • High-level English proficiency (verbal and written).
  • Proficiency in:
  • Compass CRM or Brevity
  • Google Workspace (Docs, Sheets, Drive)
  • Canva
  • Project management tools and transaction coordination platforms (e.g., A-frame)
  • Ability to design and manage automated email drip campaigns.
  • Excellent time management, problem-solving, and organizational skills.
