We are looking for a highly organized and dependable Community Coordinator to support our General Manager and keep day to day operations running smoothly. You will be the backbone of our administrative system, ensuring onboarding feels seamless, community communication stays clear, and internal workflows remain consistent and well organized. This role is ideal for someone who loves administrative work, thrives in a supportive behind the scenes position, and takes pride in being the person who keeps everything moving with accuracy and consistency.
You will handle scheduling, member onboarding, meeting preparation, community platform upkeep, simple reporting, and overall administrative support for our Agency team. If you enjoy keeping things organized, catching details others miss, and helping teams stay on track, you will be a great fit.
Your Day-to-DayAdministrative and Personal Support
- Support the General Manager with inbox management, meeting preparation, simple task organization, and timely reminders.
- Prepare agendas, pull key takeaways from recordings, assemble briefs, and keep shared files clean and updated.
- Write and send routine confirmations, reminders, scheduling updates, and follow ups.
Scheduling, Member Operations and Forum Support
- Coordinate scheduling for Forum Groups, onboarding calls, events, and internal meetings.
- Manage availability checks, reminders, calendar updates, and Zoom links for all participants.
- Handle onboarding logistics once a deposit is received and ensure member data is always accurate.
- Prepare Forum Group materials, track attendance, and support facilitators with the documents they need.
Community Platforms, Systems and Reporting
- Maintain clean and organized data in Circle, Attio, ClickUp, and Google Workspace.
- Post announcements and updates prepared by the Agency team.
- Update attendance and engagement trackers, prepare simple KPI summaries, and pull data for reviews.
Projects, Processes and Special Initiatives
- Support internal projects by keeping tasks organized and timelines clear.
- Document, update, and improve simple administrative workflows.
- Assist with program launches, event series, and improvements to the member experience.
What We're Looking ForMust Haves
- Experience in an administrative or coordinator role supporting a leader or team.
- Strong communication skills and confidence sharing clear updates and summaries.
- Very organized with excellent attention to detail and consistent follow-through.
- Proactive and resourceful with the ability to anticipate needs.
- Experience scheduling calls, coordinating logistics, or supporting group programs.
- Comfort using tools like Circle, Attio, ClickUp, Zoom, and Google Workspace or similar.
- Enjoy learning new tools and creating simple improvements to workflows.
Nice to Haves
- Experience in a community, membership, or service-oriented environment.
- Ability to create clean documents, templates, or helpful administrative resources.
- Basic comfort pulling or organizing data into simple summaries.
- Interest in community building and supporting founders.
