FINANCE COORDINATOR

We are seeking a detail-oriented and proactive FINANCE COORDINATOR to support the financial and administrative operations of the institution. This role requires accuracy, confidentiality, and strong organizational skills, as you will manage day-to-day financial transactions, coordinate with various departments, and support compliance requirements.
This is a part-time position that requires up to 10 hours per week, depending on the management approval. Your Shift will be during the Eastern Standard Time.
Position Summary:

Start Date: 1 week after signing the Offer Letter
Work Schedule: Eastern Standard Time (EST)
Rendering Hours: up to 10 hours per week (depending on the management approval)
Compensation: 85 pesos per hour
Responsibilities of Finance Coordinator
The Finance Office at Heritage Career Institute plays a crucial role in ensuring the institution's financial integrity, accuracy, and compliance with state and institutional policies. The Finance Coordinator is responsible for managing day-to-day financial transactions, maintaining accurate financial records, and supporting the administrative functions that keep the institution operating smoothly. The Finance Coordinator will work closely with the School Director, as well as the Admissions, Registrar, and Operations teams, to ensure that all financial processes—from tuition payments to reporting—are completed efficiently and accurately.

FINANCE COORDINATOR
Reports to: School Director
Collaborates with: Admissions and Registrar, Operations
Primary Focus: Financial administration
Key Responsibilities: Financial Management:
- Process tuition payments and maintain ledgers in accounting software (QuickBooks, etc.)
- Manage accounts payable, accounts receivable, and vendor invoices
- Process payroll inputs and coordinate with payroll service
- Reconcile monthly bank statements and produce summary financial reports
- Track student payment plans and manage collections
- Prepare financial statements for Director review and board presentations
- Support annual financial audits
- Maintain refund logs and tuition records per catalog policy
Accreditation / Compliance Duties:

Qualifications:
- Bachelor's degree in Accounting, Finance, Business Administration, or related field
- Experience with QuickBooks
- Strong attention to detail and accuracy in financial documentation
- Knowledge of accounts payable/receivable processes
- Strong communication, interpersonal, and customer-service skills in making calls.
- Ensure accurate monthly financial reporting aligned with institutional deadlines
- Coordinate with Admissions and Registrar for student financial clearances
- Assist with budgeting, forecasting, and financial planning
- Maintain confidentiality of all financial records and internal documents
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Proficiency in Microsoft Office, Google Workspace, and general administrative tools.
- Ability to work with minimal supervision and maintain confidentiality.
- Ability to work during AM EST hours without any conflicting schedule
- Must NOT engage in any other employment, consulting, or business activity (whether full-time or part-time) that may create a conflict of interest with the Institution.
