Requirements:

Executive Support

  • Provide comprehensive administrative support to the Chief Executive Officer
  • Prepare and edit correspondence, reports, presentations, and other confidential documents.
  • Handle sensitive information with discretion and maintain strict confidentiality.
  • Organize and support leadership and executive events (including logistics, agendas, and minutes).
  • Anticipate executives' needs and proactively address issues before they arise.

Office Management

  • Oversee daily office operations, including facilities management, supplies procurement
  • Manage office budgets, track expenses, and support invoice processing.
  • Implement and maintain office policies, systems, and procedures to improve efficiency.
  • Support onboarding and offboarding of employees, coordinating workspace, IT setup, and administrative needs.
  • Serve as the point of contact for building management, IT support, and service providers.
  • Organize company meetings, staff events, and employee engagement activities.

Administrative & Operational Support

  • Maintain company records, filing systems, and contact databases.
  • Assist HR and Finance teams with administrative tasks such as time tracking, benefits coordination, and expense reporting.
  • Ensure compliance with health, safety, and security policies.
  • Support internal communications and contribute to a positive workplace culture.

Qualifications

  • Graduate of Marketing, Business, Office Administration and other related courses
  • At least 2 years of relevant work experience
  • Excellent verbal land written communication skills
  • Highly proficient in MS Office applications, Zoom and Google Meet
  • Ability to do multi-tasking and prioritize tasks
  • Knowledgeable in e-commerce and various social media platforms
