Executive Assistant/Secretary - Job Responsibilities

  • Executive Support:

Provide comprehensive administrative support to senior executives, including calendar management, scheduling meetings, and coordinating appointments.

  • Communication Management:

Handle email correspondence, screen calls, prepare memos, and draft official communications on behalf of the executive.

  • Document Preparation:

Prepare and organize reports, presentations, spreadsheets, and other executive-level documents with high accuracy.

  • Meeting & Event Coordination:

Plan and organize executive meetings, including agenda preparation, minutes taking, logistics coordination, and follow-up action tracking.

  • Travel Management:

Arrange domestic and international travel, prepare detailed itineraries, and ensure proper documentation and bookings.

  • Project Assistance:

Support executives in monitoring ongoing projects, coordinating with internal departments, and ensuring the timely execution of deliverables.

  • Confidential Records Management:

Maintain strict confidentiality regarding sensitive company and executive information; systematically organize files and records.

  • Liaison & Stakeholder Coordination:

Act as the primary point of contact between the executive and internal/external stakeholders, ensuring smooth communication flow.

  • Office & Administrative Operations:

Monitor office needs, prepare expense reports, process reimbursements, and handle basic procurement as needed.

  • Executive Task Prioritization:

Anticipate the executive's needs, manage competing priorities, and make informed decisions to support business objectives.

Job Requirements

  • Education:

Bachelor's degree in Business Administration, Office Administration, Management, Communications, or any related field.

With an above-average scholastic record or academic achievements.

  • Experience:

At least 3 years of solid experience as an Executive Assistant, Administrative Supervisor, or in a similar executive-level support role.

  • Technical Skills:
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Knowledge of basic data management and office systems.
  • Ability to prepare polished reports, presentations, and documents.
  • Communication Skills:

Excellent written and verbal communication skills; articulate, professional, and capable of handling executive-level correspondence.

  • Organizational Skills:

Strong time management, attention to detail, and the ability to handle multiple priorities effectively.

  • Professional Traits:
  • Highly trustworthy and maintains confidentiality at all times.
  • Strong problem-solving skills and sound judgment.
  • Can work independently with minimal supervision.
  • Can handle pressure and tight deadlines.

Job Types: Full-time, Permanent

Pay: Php30, Php35,000.00 per month
