Executive Secretary

Job Summary: This role is responsible for delivering high-level administrative and clerical support to ensure the smooth and efficient functioning of the department. The Executive Secretary serves as a key point of coordination, managing schedules, communications, and documentation while maintaining confidentiality and supporting the Executive's strategic and operational goals
Qualifications:
- Must possess a Bachelor's Degree in any 4-year course; a business-related course is preferred
- New graduates are welcome to apply; 6 months to 1 year of working experience as an Executive Secretary or Secretary performing clerical functions such as filing, scanning, scheduling appointments, meetings, travel arrangements, and bookings is preferred.
- Excellent written and verbal communication skills
- Good interpersonal skills
- Good problem-solving, analytical thinking, and time-management skills
- Keen attention to detail, with great flexibility and proactive
- Proficient in MS Office applications (Word, Excel, PowerPoint, Outlook, etc.)
- Comfortable in fieldwork (if needed)
- Willing to work onsite in our Head Office located in BTTC Centre, San Juan City
Key Responsibilities:
- Handle and safeguard confidential documents and communications of the Executive.
- Perform administrative functions such as word processing, data entry, copying, and filing.
- Manage and maintain the Executive's calendar, scheduling meetings and appointments, and preparing necessary materials.
- Coordinate the Executive's activities and liaise with internal departments and external partners.
- Screen and prioritize incoming calls, visitors, correspondence, and reports, alerting the Executive to urgent matters.
- Act as the point of contact between the Executive and other departments, transmitting directives and following up on assignments.
- Maintain an organized system for managing records, including minutes of meetings, memoranda, and contracts.
- Coordinate travel arrangements, including flight bookings and hotel accommodations, and assist with out-of-town events and business planning.
- Receive, sort, and distribute business mail, ensuring proper documentation and tracking.
- Ensure the efficient operation of office equipment and manage the procurement of office supplies for the Executive.
- Prepare and maintain logs of communications, documents, and files handled by the Executive.
- Perform additional tasks as assigned by the Executive.
