About the Role
We are looking for a motivated and organised Executive Assistant & Marketing Coordinator to support our leadership team and manage a range of marketing activities. This is a varied position where you'll assist with executive reporting and business operations while also planning and delivering marketing initiatives across digital platforms, email campaigns, and events.
This role is well suited to someone who enjoys balancing administration with creativity, is confident in managing multiple priorities, and is comfortable working both independently and as part of a team.
Key Responsibilities
Executive Support & Business Operations
- Prepare and present weekly and monthly reports, including data analysis and insights for management.
- Assist with the development of Standard Operating Procedures (SOPs) for staff.
- Support the creation and monitoring of Key Performance Indicators (KPIs) across departments.
- Use knowledge and apply AI tools to maximise productivity and efficiency across all areas of the business
- Ensure all documents and information sent by the Director are accurately filed and maintained in the folder management system
- Keep HR folders and registers up to date with accurate employee records
- Manage the Director's calendar, emails, and tasks to focus on high-priority work
- Prepare briefing notes, summaries, and follow-ups to keep the Director informed and ready for meetings or decisions
- Handle communication on behalf of the Director professionally and discreetly
- Follow up with staff on assigned tasks, track their progress, and provide updates as needed
- Assist with both business and occasional personal tasks to free up the Director's time
Marketing
- Manage the weekly stock sheet, ensuring product information is accurate and up to date.
- Plan, write, and publish marketing content across various channels.
- Create and send the fortnightly customer newsletter.
- Produce product features and promotional articles.
- Manage the company's social media presence across Instagram, Facebook, LinkedIn, Twitter/X, TikTok, and YouTube.
- Coordinate and deliver marketing campaigns and strategies.
- Monitor campaign performance and prepare analytics and reports.
- Work closely with team members and external partners on collaborative projects.
- Oversee and respond to online customer reviews.
- Coordinate video marketing projects from planning to publication.
- Deliver targeted email marketing campaigns.
- Assist in organising and representing the company at trade shows and promotional events.
Skills & Experience
- Experience as an Executive Assistant, Marketing Coordinator, or in a similar dual role.
- Strong organisational and time management skills with the ability to handle multiple tasks.
- Practical experience in digital marketing, content creation, and social media management.
- Ability to prepare, interpret, and present management reports.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Strong problem-solving skills and initiative.
Desirable:
- Knowledge of CRM systems, email marketing tools, and basic design platforms.
- Previous experience coordinating events or trade shows.
- Familiarity with Google Analytics and other reporting tools.
