Job Summary:

We are seeking a highly organized and creative professional to join our team as an Accounting Assistant who is not only skilled in finance but also confident in client-facing communication, specifically in collections and sales.

Key Responsibilities:

  • Collections: Actively follow up with clients regarding outstanding invoices; send reminders, negotiate when needed, and track payment progress.
  • Sales Support: Leverage soft sales techniques during collection follow-ups to close outstanding payments.
  • Accounts Receivable Management: Record and monitor client payment statuses using QuickBooks and maintain detailed logs.
  • Financial Reporting: Prepare financial statements like balance sheets, income statements, and cash flow summaries.
  • Reconciliation: Spot and resolve discrepancies in financial data and ledgers.
  • Data Entry: Input data into accounting systems and ensure accuracy across spreadsheets and records.
  • Payroll & AP Support: Help prepare payroll and support accounts payable processes.
  • Tax Filing Support: Organize and maintain records for tax compliance and assist with document preparation.
  • Inventory Tracking: Keep inventory records updated where applicable.

Qualifications:

  • Sales or client-facing experience is a BIG PLUS – must be persuasive and able to influence payment decisions.
  • QuickBooks proficiency (minimum 1 year) – must be confident in navigating invoicing, payment tracking, and reports.
  • Strong verbal and written English communication skills.
  • Goal-driven and results-oriented – able to hit collection targets.
  • Exceptional organization and time management – stay on top of due dates and follow-ups.
  • Detail-oriented and accurate when handling financial data.
  • Trustworthy and professional in handling confidential financial information.
  • Comfortable using Excel/Google Sheets and other financial databases.
