Position: Senior Executive Assistant

Location: Remote (supporting tasks in the UK and Canada)

Hours: Monday to Friday, 3 hours per day, 12 NN UK Time (7:00pm – 10:00pm PHT)

Salary: £3 per hour (Php 230/hour)

Start Date: September 2025 (ASAP)

Key Responsibilities:

A. Property Management Administration

  • Act as the primary point of contact with letting agents, utility companies, councils, and other relevant parties.
  • Monitor and update tenant vacancies and report accordingly to appropriate council
  • Liaise proactively with letting agents to manage repairs and upkeep of properties
  • Monitor and initiate property certificates due for renewal and follow-up with letting agents.
  • Creation and update of property decks of existing and new properties for rent.
  • Manage all aspects of insurance, including obtaining quotes and handling renewals.
  • Coordinate legal and mortgage brokerage services, including acquiring quotes and completing necessary documentation

B. Medical Administration

  • Schedule and follow up on medical appointments in both the UK and Canada.
  • Manage communications and claims with health insurance providers, ensuring all medical expenses are tracked and reimbursed.
  • Update family doctors of new medical information.

C. Travel Coordination

  • Organise all aspects of travel, including booking transportation and managing travel-related administrative tasks.

D. Household Management

  • Handle all household-related tasks, such as setting up and managing home insurance, coordinating with movers, and overseeing home maintenance from quotes to completion.
  • Handle home appliance and equipment repair or replacement requests with appropriate manufacturer/dealer.
  • Schedule and manage household services, including gardeners and window cleaners.

E. Human Resources/Recruitment

  • Lead the recruitment process from advertising roles to conducting initial interviews and shortlisting candidates.
  • Manage onboarding of new hires and de-boarding of departing staff, including document management and training.
  • Overall HR duties

F. Executive Support

  • Maintain critical family documentation and manage the completion and submission of various forms.
  • Proactively manage the diaries of company owners, ensuring efficient scheduling and coordination of appointments.
  • Facilitate communication and meetings by setting up and maintaining digital tools like calendars (iCals) and video conferencing (Zoom).
  • Ad hoc tasks required by company directors

General Duties:

  • Develop and regularly update Standard Operating Procedures (SOPs) for each task and department, using tools like Loom for video instructions and graphic software for SOPs.
  • Maintain proficiency with digital communication and management tools such as Dropbox, Slack, and Trello.
  • Handle financial tasks including accounts management, making payments, and following up on transactions.

Required Qualifications:

  • Minimum of 5 years' experience as a virtual executive assistant, preferably with experience in a fast-paced industry
  • Proficient in MS Office Suite and other digital tools (Zoom, Trello, Canva, etc.)
  • Strong organisational skills and attention to detail
  • Excellent communication skills, comfortable on the phone, ideally with a neutral accent
  • Proactive, with a demonstrated ability to take initiative and work independently
  • Shows excellent time and task management
  • Maintains high confidentiality when working with personal information
  • Comfortable working for different time zone
  • Have a high-speed internet, own laptop/PC set-up, and dedicated workspace
