The Remote Executive Assistant will provide high-quality administrative and organizational support to the Managing Director and senior leadership team. Working remotely, the role will focus on managing communications, scheduling, documentation, and online tasks and research to ensure the smooth running of daily operations. The ideal candidate will be highly organized, proactive, and comfortable working independently while handling confidential information with discretion. Remote Executive Assistant must be available on USA Eastern Standard Time. This person must have High Speed Internet and a good computer system available.

Key Responsibilities

  • Respond promptly and professionally to emails and phone calls.
  • Make outbound calls to follow up on tasks, appointments, or inquiries.
  • Schedule and manage meetings, virtual appointments, and follow-ups.
  • Maintain accurate records and update databases or online tracking systems.
  • Prepare, format, and organize digital documents and reports as required.
  • Send reminders and assist in tracking deadlines, deliverables, and payments.
  • Post announcements, updates, or listings on online platforms when needed.
  • Provide day-to-day remote administrative support to management and teams.

Requirements

  • Proven experience as a Remote Executive Assistant, Virtual Assistant, or in administrative support.

  • Excellent English communication skills (written and verbal).

  • Comfortable making and receiving calls on behalf of management.

  • Highly organized, reliable, and able to manage tasks without constant supervision.

  • Advanced computer literacy, including Microsoft Office, Adobe Acrobat, and QuickBooks.

  • Familiarity with online tools and platforms such as Teams, Zoom, SharePoint, Google Workspace,) is an advantage.

  • Strong time management skills with the ability to handle multiple priorities remotely.

  • Must be able to research given tasks and report to management in a timely manner.

  • Experience as a virtual assistant or in admin support

  • Good English communication skills (spoken and written)

  • Comfortable making and receiving calls

  • Organized, reliable, and able to work without constant supervision

Knowledge of online tools and platforms is a plus

  • Documentation Quality: Clear, well-organized, and error-free documents, reports, and records.

  • Proactivity: Evidence of anticipating needs, sending reminders, and preventing missed deadlines.

  • Reliability: Consistent availability during agreed working hours and dependable execution of responsibilities.

  • Communication: Professional and effective communication with management, teams, and external stakeholders.

  • Confidentiality: Demonstrated ability to handle sensitive information securely and discreetly.

Job Types: Full-time, Permanent, OJT (On the job training), Fresh graduate

Contract length: 12 months

Pay: Php20, Php25,000.00 per month
