We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide comprehensive administrative and operational support to the President. The ideal candidate thrives in a fast-paced environment, can anticipate needs, and handles sensitive information with utmost professionalism and discretion.

This role is pivotal in ensuring the President's time and attention are focused on high-impact priorities—managing communications, preparing reports and presentations, coordinating schedules, and supporting travel and events.

Key Responsibilities

Administrative & Executive Support

  • Manage the President's calendar, appointments, and meetings, ensuring effective time management and prioritization.
  • Prepare correspondence, reports, and internal/external communications on behalf of the President.
  • Draft, proofread, and format documents, proposals, and presentations.
  • Maintain organized filing systems and ensure key records are accessible and up to date.

Communications & Coordination

  • Serve as the primary point of contact between the President and internal/external stakeholders.
  • Manage and prioritize emails, calls, and messages, ensuring timely and appropriate responses.
  • Coordinate with department heads and teams to follow through on action items, deliverables, and deadlines.

Travel & Events

  • Coordinate and manage travel itineraries, accommodations, and logistics for both domestic and international trips.
  • Support the President during travels—handling schedules, event materials, and communication needs.
  • Assist in planning and executing meetings, conferences, and company events as needed.

Presentations & Reports

  • Create, edit, and refine PowerPoint presentations and visual materials for internal meetings, client pitches, and public engagements.
  • Gather data and insights from various departments to prepare executive reports and summaries.

Qualifications

  • Bachelor's degree in Business Administration, Communications, or related field.
  • Minimum of 3–5 years of experience as an Executive Assistant, ideally supporting C-level executives.
  • Exceptional written and verbal communication skills in English.
  • Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Google Workspace, Slack, Trello).
  • High level of professionalism, integrity, and confidentiality.
  • Excellent organizational and time management skills, with keen attention to detail.
  • Willingness and ability to travel locally and internationally when required.
