Client Services Coordinator / Compliance Manager

Location: Remote/WFH

Employment Type: Part-time (Dayshift required)

About the Role

We are seeking an experienced and highly organised professional to take on the dual role of Client Services Coordinator & Compliance Manager. This is a key position that combines client relationship management, workflow coordination, and compliance oversight. The successful candidate will support the team by ensuring efficient operations, timely communication, and adherence to regulatory standards while building strong relationships with our clients.

Key Responsibilities

Client Services & Administration

· Handle office communication via email, phone, and online platforms

· Maintain databases and manage physical and electronic storage of documents and files

· Perform general administration duties and provide assistance to the Owner, Practice Manager, and Professional Team

· Respond to client queries in a timely manner and allocate tasks to appropriate team members

· Receive and distribute emails appropriately

· Set up and allocate workflow to the team

· Manage new client onboarding, including compliance preparation and distribution

· Ensure efficient client service and workflow management across the team

· Carry out other ad hoc administrative duties as required

Compliance Oversight

· Monitor and interpret changes in legislation (e.g., ATO, Fair Work, TPB, STP, SuperStream) and update procedures accordingly

· Ensure compliance with BAS Agent obligations, including registration, supervision, and declaration processes

· Conduct internal audits of bookkeeping files to ensure accuracy and completeness

· Oversee compliance checklists and onboarding procedures for new clients

Quality Assurance & Risk Management

· Develop, implement, and maintain quality control systems

· Review and verify reconciliations, BAS/IAS lodgements, payroll submissions, and end-of-year processes

· Maintain compliance documentation and audit trails for all services provided

· Identify and mitigate risks related to client engagements and internal systems

· Investigate and resolve compliance breaches, client complaints, or regulatory issues

Training, Support & Policy Development

· Support the development and delivery of compliance training for staff (e.g., CPD, procedure updates)

· Provide compliance guidance to the bookkeeping team and act as an escalation point for complex matters

· Liaise with external professionals including accountants, ATO, and TPB as required

· Maintain and update policies related to bookkeeping, payroll, privacy, data security, and client onboarding

· Ensure standard operating procedures (SOPs) are compliant, clear, and consistently followed across the team

Tools and Software

· This role will require the use of:

· Xero, XPM, FYI, Teams

· Microsoft Word, Excel, Adobe

· Annature, BOMA Marketing, Minute Doc, HR Partner

· Other accounting packages as directed

Skills and Attributes

· Previous experience in administrative or office support roles in the accounting/bookkeeping industry

· Strong organisational and multitasking skills with excellent attention to detail

· Friendly, professional, respectful, and enthusiastic attitude

· Ability to work under pressure while being reliable, trustworthy, and collaborative

· Excellent verbal and written communication and customer service skills

· Proficiency in Microsoft Office and willingness to learn new software

· Strong problem-solving skills with the ability to prioritise client requirements alongside staff schedules

· Ability to work both independently and as part of a team

· Leadership skills and a proactive approach to improving processes

· Adaptability to changing demands and eagerness to expand skills

Work Setup Requirements

  • This is a remote, work-from-home position
  • Must have own reliable computer/laptop, webcam, and headset
  • Must have a stable internet connection
  • Backup power or contingency plan for outages is a plus
