Job Overview

We're looking for a detail-oriented and proactive Admin Assistant who can help keep our operations running smoothly. This role supports our marketing and eCommerce processes by assisting with product uploads, ad scheduling, basic edits, and customer coordination—making sure everything behind the scenes runs efficiently.

Key Responsibilities

  • Upload and update products on the company website (descriptions, images, pricing, categories).
  • Schedule and organize ads or promotional posts across platforms (e.g., Meta Ads, Shopee, Lazada, TikTok).
  • Perform simple video edits or layout adjustments when needed for product listings or content.
  • Call and coordinate with customers for order confirmations, feedback, or delivery concerns.
  • Maintain spreadsheets and assist in administrative tasks such as reports, scheduling, and documentation.
  • Collaborate with marketing and operations teams to ensure product and ad information is accurate and up-to-date.

Key Performance Indicators (KPIs)

  • Accuracy: Correct and complete data entry for product listings.
  • Timeliness: On-time submission of ad schedules, reports, and customer follow-ups.
  • Responsiveness: Prompt coordination and updates with customers or teammates.
  • Quality: Clear and consistent formatting for listings, posts, and simple edits.
  • Initiative: Proactive approach in spotting errors, suggesting improvements, or taking on new tasks.

Qualifications

  • Currently pursuing a degree in Business Administration, Marketing, Management, or a related field.
  • Familiar with tools like Canva, CapCut, Google Sheets, ChatGPT, or similar.
  • Has good communication skills and a polite, professional phone manner.
  • Organized, reliable, and able to multitask.
  • Willing to learn about eCommerce workflows and marketing coordination.
