We are seeking a Virtual Admin/Back-Office Assistant for an interior designer based in Vero Beach, Florida, specializing in high-end residential design to support the operational, financial, and vendor-related functions of the business.

We are looking for a detail-oriented, organized, and proactive Administrative & Back Office Assistant. This role will work closely with the business owner to streamline internal processes, manage documentation, maintain vendor relationships, and support day-to-day administrative needs beyond the current design support staff.

Key Responsibilities

Administrative & Business Operations

  • Acquire, organize, and maintain business documentation, including resale certificates and compliance records
  • Set up and maintain digital business systems (Google Drive, Canva, and other workflow tools)
  • Maintain and organize project folders, documentation, and design assets.

Financial Tracking & Budget Management

  • Manage project budgets, spreadsheets, and financial tracking
  • Coordinate with the business's account for accurate financial recording.
  • Assist with light bookkeeping tasks and expense organization (no accounting license required).

Vendor & Purchasing Support

  • Set up and maintain vendor accounts.
  • Handle product sourcing, ordering, and follow-up with vendors to ensure timely deliveries.
  • Track order statuses, lead times, and shipment updates.
  • Assist with vendor correspondence and maintain vendor records.

Qualifications

  • Previous experience in administrative roles
  • Experience in interior design, architecture, or a creative studio is a plus, but not required.
  • Strong organization and multitasking skills with a high attention to detail.
  • Comfortable working with spreadsheets, budgets, and financial tracking.
  • Proficiency with Google Workspace.
  • Experience with Canva or similar tools preferred.
  • Reliable, proactive, and excellent at follow-through and task management.
  • Ability to work remotely and communicate clearly in a fast-moving design environment.

Working Hours & Location

  • Must be able to coordinate during Eastern Standard Time work hours.
  • Remote role with preference for candidates familiar with U.S.-based vendor processes.
