About the Role
We are seeking a detail-oriented and highly organized Administration Assistant to support our operations team. This role will involve coordinating with trades and tenants, managing high volumes of work orders, and ensuring accurate reporting and documentation. The ideal candidate will have construction industry experience, strong Excel skills, and the ability to thrive in a fast-paced environment.
Key Responsibilities
- Allocate job orders to subcontractors and monitor progress.
- Dispatch and track work orders, ensuring timely completion.
- Run and manage overdue reports for 600–900 work orders.
- Follow up with subcontractors on expected completion timelines.
- Liaise with schedulers and other trades to coordinate job activities.
- Review and check work order claims for accuracy.
- Verify and process subcontractor invoices.
- Create and maintain Excel spreadsheets for reporting and record-keeping.
- Book jobs with trades and tenants, coordinating schedules effectively.
- Provide general administrative support as required.
- Previous experience in administration, operations, or coordination roles within the construction industry (Australian market experience is highly preferred).
- Intermediate Excel skills (data management, formulas, reporting).
- Excellent attention to detail and organizational skills.
- Ability to manage multiple priorities and meet deadlines in a high-volume environment.
- Strong communication skills for liaising with trades, tenants, and team members.
- A proactive, problem-solving approach with the ability to work independently.
