About the Role
We are seeking a highly organised and detail-oriented Conference Coordinator to support the Conference Manager in planning and executing our international technical engineering conferences. This is a remote position ideal for someone with strong project management skills, excellent communication abilities, and experience in event coordination. You'll work across multiple conference projects in various countries, supporting events that drive knowledge sharing and professional development in the engineering sector.
Key Responsibilities (Summary):
- Stakeholder Engagement: Research and engage potential sponsors, delegates, and industry partners; manage outreach and follow-ups.
- Speaker Management: Gather and organise speaker bios, photos, abstracts; prepare information packs; send reminders; finalise presentation details.
- Marketing & Communications: Coordinate EDM and social media calendars; manage pre-conference communications; support internal marketing activities.
- Website & Content Updates: Maintain and update conference details using the Joomla platform.
- Design & Branding: Liaise with designers on conference materials including manuals, name badges, and branded assets.
- Conference Manual Production: Compile papers and presentations; coordinate printing and delivery timelines.
- Registration & Logistics: Monitor delegate registrations, prepare slide decks, coordinate sponsor requirements, and support pre-event logistics.
- Quality Control: Track paper and presentation submissions; ensure all conference materials remain accurate and aligned.
Contract: Remote, Php 380–400/hour
Reports to: Conference Manager
Desirable
- Proven experience in event coordination, conference management, or project coordination
- Exceptional organisational skills with the ability to manage multiple deadlines simultaneously
- Strong written and verbal communication skills
- Experience with content management systems (Joomla previous experience with this platform is not essential)
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- High attention to detail and quality control mindset
- Ability to work independently and proactively in a remote environment
- Strong follow-up skills and persistence in chasing outstanding deliverables
- Familiarity with EDM platforms and social media scheduling tools
- Understanding of printing processes and specifications
- Experience with calendar management and scheduling tools

Job Type: Full-time
Pay: Php380.00 per hour
