We're seeking a dedicated Executive Assistant (Remote) to support our Operations Manager at a thriving property management company. In this pivotal role, you'll be instrumental in ensuring the smooth functioning of our support center and facilitating seamless property and client integrations.

Duties and Responsibilities:

  • Operations Support: Provide comprehensive administrative and operational support to the Operations Manager, including scheduling, correspondence, report preparation, and project coordination.
  • Support Center Oversight: Oversee the daily operations of our remote support center, which manages all incoming calls and emails from external sources (tenants, owners, vendors, etc.). This includes monitoring performance, identifying areas for improvement, and assisting with escalated issues.
  • Client & Property Onboarding: Manage the end-to-end process of integrating new properties from existing clients and onboarding entirely new clients and their properties into our systems. This involves coordinating with various departments, ensuring data accuracy, and communicating effectively with all stakeholders.
  • System & Process Improvement: Identify opportunities to optimize workflows, implement new processes, and leverage technology to enhance efficiency within operations and the support center.
  • Communication Hub: Act as a central point of contact for internal and external communications related to operations, ensuring timely and accurate information dissemination.
  • Data Management: Maintain organized and accurate records, databases, and documentation related to properties, clients, and support center activities.

Qualifications:

  • Operations Manager or Team Leader experience is a PLUS.
  • Proven experience as an Executive Assistant, Operations Assistant, or similar role, preferably in property management or a related industry.
  • Demonstrated experience in managing or overseeing a customer support or call center environment.
  • Strong understanding of client onboarding and data integration processes.
  • Exceptional organizational and time management skills with the ability to prioritize effectively in a fast-paced environment.
  • Excellent written and verbal communication skills, with a professional and engaging demeanor.
  • Proficiency in property management software (e.g., AppFolio, Buildium, Yardi) and CRM systems is a plus.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
  • Tech-savvy with the ability to quickly learn new software and tools.
  • Self-motivated, proactive, and capable of working independently with minimal supervision in a remote setting.
  • High level of discretion and integrity when handling confidential information.

Job Types: Full-time, Permanent

Pay: Up to Php290.00 per hour

Expected hours: 40 per week
