Titan Services, Inc are seeking a dedicated and detail-oriented Executive Assistant & Operations Coordinator to support their growing business operations. This role is pivotal in ensuring smooth day-to-day coordination — managing communications, terminal schedules, and operational reporting. The successful candidate will be their first Virtual Assistant (VA) and will play a key role in setting the foundation for future operational growth, including the onboarding of a Night Dispatcher later this year.

Key Responsibilities

1. Executive Support

  • Manage and organize email communication.
  • Prioritize and respond to time-sensitive inquiries in a professional and timely manner.
  • Maintain confidentiality and exercise discretion with sensitive information.
  • Schedule meetings, coordinate calendars, and send reminders as needed.

2. Operations Coordination

  • Oversee terminal scheduling and ensure all operational timelines are met.
  • Prepare and distribute daily operational reports and performance summaries.
  • Maintain accurate records of schedules, communications, and workflow updates.
  • Coordinate with drivers, dispatchers, and internal team members to ensure efficient logistics flow.
  • Assist with operational documentation, process tracking, and administrative compliance.

3. Communication & Collaboration

  • Serve as a reliable point of contact between the team.
  • Communicate clearly and professionally across all channels (email, chat, and calls).
  • Support internal coordination and follow up on pending action items.

4. Continuous Improvement

  • Proactively identify inefficiencies and suggest process improvements.
  • Help establish standard operating procedures (SOPs) for recurring tasks.

Qualifications

  • Proven experience as an Executive Assistant, Operations Coordinator, or Administrative VA (preferably in logistics, dispatch, or related industries).
  • Excellent command of written and spoken English.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Proficient in using productivity tools (Google Workspace, MS Office, project management or scheduling platforms).
  • Able to work independently with minimal supervision.
  • Strong sense of accountability and discretion.

Job Types: Full-time, Permanent

Pay: Php30, Php40,000.00 per month
