Who We Are Looking For:

The Executive Assistant is the central operational partner to the CEO — responsible for organization, execution, communication, and ensuring priorities move forward without friction. This role demands exceptional attention to detail, strong business judgment, and the ability to operate in a fast-moving environment with minimal direction. The Executive Assistant will manage calendars, coordinate across teams, prepare documents, streamline workflows, and proactively anticipate the CEO's needs. This is a high-trust, high-impact role that helps drive the effectiveness and efficiency of the entire organization.

What You'll Do:

· Manage complex executive calendars, meetings, and daily schedules with precision and priority awareness.

· Coordinate internal and external meetings, including agendas, preparation materials, and follow-ups.

· Organize inboxes and communications, triage messages, draft responses, and ensure timely execution of action items.

· Prepare documents, reports, presentations, and summaries with accuracy and professionalism.

· Track key projects and deadlines across multiple business lines; ensure deliverables stay on course.

· Conduct research, compile data, and create concise briefing notes for strategic initiatives.

· Manage travel arrangements: itineraries, bookings, logistics, reimbursements.

· Maintain confidential records, digital filing systems, contracts, and company documents.

· Liaise with internal teams, partners, vendors, and external stakeholders on behalf of the CEO.

· Assist with light personal tasks and logistics to protect the CEO's time and focus.

· Perform operational tasks such as invoice tracking, expense reconciliation, and vendor coordination.

· Draft clear, concise, professional communications for internal and external audiences.

· Self-manage time and priorities with minimal oversight in a remote work environment.

· Other duties as assigned.

You Have:

· 2–4 years of experience as an Executive Assistant, Administrative Assistant, or Operations Coordinator.

· Bachelor's degree preferred.

· Exceptional organizational skills and the ability to manage multiple priorities simultaneously.

· Strong written and verbal English communication skills.

· Ability to work efficiently under tight deadlines in a fast-paced, changing environment.

· Experience supporting senior leadership, including calendar and inbox management.

· High proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Teams) and project management tools (Asana).

· Strong attention to detail, accuracy, and ability to maintain confidentiality.

· Proven judgment and the ability to anticipate needs rather than react to them.

· Experience coordinating travel, preparing documents, and managing cross-functional communication.

· Ability to take initiative and drive tasks forward with minimal supervision.

· Skills in Asana, Pipedrive, or CRM tools a plus.

· Basic familiarity with financial administration (expenses, invoices, reconciliations) a plus.

Physical Demands and Work Environment:

While performing the duties of this job, the employee is regularly required to communicate effectively via telephone, video call, and email. The employee is frequently required to remain in a stationary position for extended periods and occasionally move from one location to another. The employee is required to consistently use computer and office productivity equipment such as a desktop/laptop computer, tablet, printer, and calculator, as well as software including Google Workspace and project management tools.
