HR/Admin Assistant

KEY RESPONSIBILITIES:
1. Onboarding & Offboarding
- Facilitate new employee onboarding and complete all necessary documentation.
- Conduct company orientation, explaining Employee Handbook.
- Ensure workstation, equipment, and system access are ready for new hires.
- Manage resignation process including exit interviews and clearance.
- Process final pay and government updates.
2. Recruitment & Selection
- Post job vacancies on various platforms and source potential candidates.
- Screen résumés, schedule interviews, and conduct initial assessments.
- Coordinate interviews with hiring managers.
- Prepare job offers and assist in pre-employment requirements.
3. Employee Relations & Labor Relations
- Assist in handling employee concerns, inquiries, and conflicts.
- Help implement company policies and ensure compliance with labor laws.
- Prepare notices and documentation related to disciplinary actions.
- Maintain harmonious workplace culture by supporting engagement activities.
4. Compensation & Benefits Administration
- Process government-mandated benefits (SSS, PhilHealth, Pag-IBIG).
- Assist with payroll preparation, ensuring accurate timekeeping and deductions.
- Monitor leave credits, overtime, and attendance issues.
- Coordinate HMO enrollment, updates, and claims.
6. Timekeeping & Attendance Monitoring
- Oversee daily time records (DTR) and biometric data.
- Validate attendance discrepancies, undertime, overtime, and absences.
- Generate monthly attendance reports for payroll.
7. Administrative Support
- Maintain employee 201 files (physical and digital).
- Prepare HR-related letters, memos, and reports.
- Assist in facility management, office supplies monitoring, and logistics.
- Support company events such as meetings, training, and engagement activities.
- Perform general office tasks (coordination, documentation, communication).
8. Compliance & Documentation
- Assist in audit preparation for HR and Admin documents.
- Ensure timely renewal of permits, licenses, and mandatory requirements.
- Keep all records updated, organized, and confidential.
QUALIFICATIONS:
- Bachelor's degree in Human Resource Management, Psychology, Business Administration, or related field.
- At least 1–2 years' experience in HR Generalist, HR Assistant, or HR/Admin role.
- Knowledgeable in the full HR cycle: recruitment, onboarding, records management, compensation and benefits, timekeeping, employee relations, labor relations, and offboarding.
- Strong understanding of Philippine Labor Laws, government-mandated benefits (SSS, PhilHealth, Pag-IBIG), and statutory compliance.
- Experience in event planning and coordination such as team building, Christmas parties, meetings, training, and employee engagement activities.
- Excellent communication skills, both written and verbal.
- Highly organized, detail-oriented, and able to multitask effectively.
- Able to handle confidential information with integrity and professionalism.
- Positive attitude, strong sense of responsibility, and commitment to HR service delivery.
