Position Summary
The HR Assistant provides administrative and operational support to the HR Department. The role ensures smooth implementation of HR processes, assists employees with HR-related concerns, and contributes to efficient documentation, compliance, and employee relations.
Key Responsibilities1. Recruitment & Onboarding
- Assist in job posting, resume screening, and scheduling interviews.
- Coordinate with candidates and hiring managers for interview arrangements.
- Prepare onboarding documents and assist in new hire orientation.
- Ensure new employees submit government-mandated requirements (SSS, PhilHealth, Pag-IBIG, TIN, etc.).
2. HR Administration
- Maintain and update employee records, 201 files, and HR databases.
- Prepare HR-related letters, memos, and certifications.
- Assist in processing company IDs, contracts, and employee updates.
- Monitor and track probationary evaluations and contract expiry.
3. Timekeeping & Attendance
- Review daily attendance logs and coordinate discrepancies with supervisors.
- Assist in preparing reports for payroll processing (late, absences, OT summaries, leave forms).
- Help track leave credits, approved leaves, and attendance issues.
4. Employee Relations
- Assist employees with HR inquiries and concerns.
- Coordinate small HR initiatives such as employee engagement activities.
- Help support disciplinary documentation (incident reports, memos, notices) under the guidance of the HR Manager.
5. Government Compliance
- Support the processing of government contributions and loans (SSS, Pag-IBIG, PhilHealth).
- Assist with preparation of needed documents for audits or compliance visits.
- Coordinate with agencies for updates, submissions, or concerns related to employee benefits.
6. HR Support & Other Duties
- Assist with training logistics (attendance sheets, materials, scheduling).
- Participate in HR projects and process improvements.
- Weekly Payroll Processing
- Processing of allowances and incentives
- Perform other duties as assigned by the HR Manager.
Qualifications
- Bachelor's degree in Psychology, HRDM, Business Administration, or related field.
- At least 1 year HR experience is preferred; fresh graduates may also apply depending on company needs.
- Strong communication and interpersonal skills.
- Organized, detail-oriented, and proactive.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Ability to handle confidential information with professionalism.
