Role Summary

The Executive Virtual Assistant will provide high-level administrative and personal support, ensuring seamless coordination across both professional and lifestyle needs. This role requires someone highly proactive, organised, calm under pressure, and capable of anticipating requirements before they arise. The ideal candidate has strong social media familiarity, excellent communication skills, and the flexibility to adapt to fast-changing schedules, particularly when coordinating travel and events.

Key Responsibilities

Executive & Administrative Support

  • Serve as the command centre for communications, documents, reports, and competitor analyses.
  • Prepare and maintain accurate sales reports and executive-level documentation.
  • Manage calendars, appointments, and travel arrangements with detailed attention to preferences such as seating, amenities, and timing.
  • Provide timely updates, reminders, and information well in advance.

Lifestyle & Personal Support

  • Coordinate bookings and logistics for events, including concerts and other activities aligned with the executive's interests.
  • Ensure all arrangements consistently meet specific standards and personal preferences.

Social Media & Digital Support

  • Assist with tasks related to social media platforms, particularly Instagram, including organising assets and monitoring engagement.
  • Use AI tools to streamline tasks, gather insights, or support content-related activities.

Operational Excellence

  • Remain calm, organised, and effective in fast-paced and shifting environments.
  • Adapt quickly to changes in plans, schedules, and priorities.
  • Communicate clearly, professionally, and consistently across all tasks.

Qualifications

  • Proven experience as an Executive Virtual Assistant.
  • Strong presence and familiarity with social media platforms, especially Instagram.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint).
  • Comfortable using AI tools for productivity and content support.
  • Strong analytical skills, including competitor research and report preparation.
  • Excellent written and verbal communication skills.
  • Highly proactive, with the ability to anticipate needs and act ahead of time.
  • Calm under pressure and able to handle fast-paced, frequently changing environments.
  • Adaptable and flexible, not rigid about routines or shifting requirements.
  • Capable of supporting an executive with specific lifestyle preferences and high standards for travel, events, and arrangements.
