Job Summary:

The Admin Assistant is responsible for arranging travel requirements for staff and management, coordinating with the logistics team for scheduling, and handling various permit applications. The role also includes processing invoices, maintaining accurate records, performing general administrative tasks, and liaising with internal departments and external vendors to ensure smooth and efficient operations.

Responsibilities:
  • Arrange flights, accommodation, and other travel requirements for staff and management.
  • Coordinate closely with the logistics team to support scheduling and operational planning.
  • Prepare, submit, and follow up on various permit applications as required.
  • Process and monitor invoices, ensuring timely submission and compliance with internal procedures.
  • Maintain accurate records of travel, permits, and financial documents.
  • Assist in general administrative duties such as filing, data entry, and communication support.
  • Liaise with internal departments and external vendors as needed.


Requirements Qualifications:
  • Bachelor's degree or equivalent experience in Business Administration or related field.
  • At least 1 year of relevant experience in administrative or clerical work.
  • Proficient in MS Office (Word, Excel, Outlook).
  • Advanced knowledge in Microsoft Excel (e.g., Pivot Tables, VLOOKUP, formulas, charts)
  • Strong organizational and time management skills.
  • Good communication skills, both written and verbal.
  • Ability to multitask and work under minimal supervision.
  • Knowledge in invoice processing or permit coordination is an advantage.
