
Service Admin

The Service Admin is responsible for providing administrative and clerical support to the service department. This includes handling service documentation, coordinating schedules, assisting in customer communication, and ensuring accurate recording of service transactions to support smooth operations and excellent customer service.
Key Responsibilities:
- Prepare and process service-related documents such as job orders, service reports, invoices, and warranty claims.
- Encode and maintain accurate records of all service transactions in the system.
- Coordinate with the Service Advisor, Technicians, and Parts Department to ensure timely job completion and proper documentation.
- Monitor and update the status of ongoing service jobs.
- Assist in preparing reports such as daily service summary, productivity reports, and customer feedback logs.
- Ensure proper filing and safekeeping of service documents and customer records.
- Handle customer inquiries and relay messages to the appropriate personnel.
- Maintain inventory of office supplies used in the service department.
- Support the Service Manager in administrative tasks such as scheduling, reporting, and data analysis.
- Perform other related tasks that may be assigned from time to time.
Qualifications:
- Bachelor's Degree in Business Administration, Office Management, or any related field.
- With at least 1 year of experience in an administrative or clerical role (preferably in automotive or service industry).
- Proficient in MS Office (Word, Excel, PowerPoint).
- Excellent communication and organizational skills.
- Strong attention to detail and ability to multitask.
- Customer-oriented and a good team player.
