We are seeking a highly organized Admin Assistant to support the Operations Manager in managing day-to-day operations, administrative functions, and creative coordination across teams. The ideal candidate is detail-oriented, proactive, and adaptable in a fast-paced virtual environment.
Key Responsibilities
Project & Task Management
- Track project timelines and ensure on-time completion.
- Send reminders and updates to the Operations Manager regarding ongoing tasks.
- Maintain task lists and follow up on deliverables across departments.
Meeting & Webinar Support
- Set up and manage Zoom meetings and webinars.
- Admit participants, moderate chats, and provide live tech support during sessions.
- Record meetings, take detailed notes, and organize post-meeting documentation.
Administrative & Document Management
- Organize and maintain digital files in Google Drive and related platforms.
- Conduct regular audits of reports, folders, and document versions.
- Manage and update contact databases, including social handles, emails, and phone numbers.
Creative & Marketing Support
- Review Canva templates for design accuracy and branding consistency.
- Assist with basic copywriting tasks — draft and format emails or marketing materials.
- Upload videos and marketing assets to sales or learning platforms.
Research & Vendor Coordination
- Conduct online research for vendors, partnerships, or company requirements.
- Compile and organize findings into actionable summaries or reports.
Social Media & Community Support
- Moderate Facebook group activity — approve posts, respond to members, and maintain engagement.
- Support social media scheduling and content organization when needed.
Experience and Proficiency
- Excellent English communication skills (written and verbal).
- Proven experience providing administrative support as a Virtual Assistant. (IMPORTANT)
- Proficient in Google Workspace and Microsoft Office applications (Docs, Sheets, Excel, etc.).
- Skilled in Canva for basic design and layout review.
- Experience in CRM management and basic copywriting (e.g., email layouts).
- Experience with Kajabi is a strong plus.
