About the Role

We are a U.S.-based creative and technology group supporting faith-centered and nonprofit clients nationwide. To keep pace with rapid growth, we're seeking a detail-oriented Administrative Assistant who can own executive-level administrative tasks from a remote home office in the Philippines. You'll work closely with senior leadership, manage client-facing communications, and keep critical back-office processes running smoothly.

Key Responsibilities

  • Calendar & Meeting Management – Coordinate complex schedules for executives; confirm appointments and send reminders.
  • Client Billing Support – Generate invoices, process payments, and reconcile basic data in QuickBooks Online (training provided).
  • Front-Line Communication – Answer calls (VoIP), respond to email inquiries, and provide courteous, timely support to clients and vendors.
  • Database & File Maintenance – Update CRM records, organize digital files, and ensure information is accurate and easy to locate.
  • Correspondence & Document Prep – Draft memos, letters, proposals, and basic reports with polished, error-free English.
  • Travel Coordination – Arrange flights, hotels, ground transportation, and prepare travel itineraries for executives.
  • General Administrative Tasks – Perform research, prepare expense reports, order supplies, and tackle ad-hoc projects as assigned.

Core Qualifications

  • At least 2 years of experience in an administrative, executive-assistant, or virtual-assistant role.
  • Proven ability to manage calendars, meetings, and email inboxes for senior leaders.
  • Comfortable speaking with U.S. clients on the phone and via Zoom; professional written and verbal English skills.
  • Strong grasp of Microsoft 365 and Google Workspace tools (Docs, Sheets, Slides, Calendar, Drive).
  • Reliable high-speed internet, backup power solution, and a quiet workspace suitable for calls.
  • Willingness to be available during the hours of 8:30 PM – 5:30 AM Manila Time (8:30 AM – 5:30 PM Eastern Standard Time), Monday-Friday.

Nice-to-Have

  • Hands-on experience with QuickBooks Online.
  • Familiarity with CRM platforms (e.g., Zoho, or similar).
  • Prior support experience in a creative agency, nonprofit, or faith-based organization.

Compensation & Contract Details

  • Compensation Range: 40,000–45,000 PHP per month, issued twice monthly via payment service.
  • Engagement: Independent contractor (you manage your own taxes and benefits).
  • Hours: 40+ hours per week; increases and project bonuses possible.
