The Executive Assistant with strategic responsibilities serves as both a confidential executive support to the CEO/President and a strategic partner, managing executive communications organizational projects, and cross-functional initiatives. This role blends administrative expertise with strategic coordination, enhancing the effectiveness and efficiency of executive operations.
Strategic Responsibilities:
- Initiative Leadership: Drive strategic initiatives and cross-functional prects from conception to execution, coordinating across multiple departments
- Executive Representation: Represent the CEO in meetings and communicate effectively with internal and external stakeholders on their behalf
- Organizational Alignment: Monitor company-wide objectives, ensure alignment with executive priorities, and facilitate effective leadership team collaboration
- Strategic Planning Support: Assist in annual strategic planning, budgeting, performance evaluations, and prepare comprehensive briefing materials for executive and board meetings
- Change Management: Support organizational development, cultural initiatives, and proactively address executive needs and operational issues
- Accountability & Follow-up: Ensure rigorous follow-up on executive directives and maintain accountability for key decisions and outcomes
Administrative Responsibilities:
- Executive Support & Communications: Provide confidential executive support, managing all correspondence, screening calls/visitors, and ensuring timely responses and signatures
- Calendar & Meeting Management: Oversee executive office operation including scheduling, coordinating meetings, taking minutes, and circulating documentation
- Document & Information Management: Create, format, and edit executive-level documents and presentations while maintaining organized physical and electronic filing systems
- Travel & Event Coordination: Arrange comprehensive local and international travel logistics, VIP services (airport transfers, accommodation, dining), and ensure IT/audiovisual setup for meetings
- Personal Executive Support: Provide assistance with personal activities and special assignments as required
Qualifications:
Education:
- Bachelor's degree preferably in Business Administration, Mass Commuunication, Marketing, Journalism, or a related field.
Experience:
- At least 3 years of relevant experience, ideally in an executive assistant or srategic support role. Prior executive-level experience strongly preferred.
Skills:
- Exceptional organizational, administrative, and time-managemert skills
- Strong verbal and written communication abilities
- Excellent interpersonal and influencing skills
- Advanced proficiency in Microsoft Office Suite (Excel, Power Point, Word
- Strong analytical, research, and reporting capabilities
Attitude:
- High level of integrity, discretion, and reliability
- Proactive problem-solver with strategic orientation
- Capable of independent judgment and handling high-pressure environments
- Flexible and adaptive, open to new approaches and continuous learning
- Ability to gain support and build effective relationships across all organizational levels
