Job Highlights:

A local parenting website for Sydney's North Shore, is seeking a highly organized, efficient, and proactive Executive Assistant to support our CEO and operations. This is an exciting opportunity for someone who thrives in a fast-paced environment, communicates effectively, and works independently to ensure operations run smoothly.

Responsibilities:
  • Respond promptly or reassign to relevant team members to client enquiries via HubSpot, using templates and snippets.
  • Add new advertising campaigns to Trello on the day they are received via email (or as a priority, the next working day)
  • Manage banner campaigns, including chasing artwork, scheduling and reporting.
  • Resize and/or crop images for website use (specs provided).
  • Schedule social media posts in VistaSocial using the provided copy.
  • Boost Facebook posts to reach targeted demographics and achieve set client objectives (e.g., 5,000 impressions).
  • Create and send out invoices to clients using QuickBooks
  • Email advertising reports to clients with completed campaign statistics (templates provided).
  • Set up new directory listings for package clients.
  • Add events to the What's On section; proactively research new events when appropriate.
  • Approve business posts in the Facebook Group during dedicated Business Hour (1st and 3rd Tuesday of the month, 8-9pm AEST).
  • Perform additional administrative and operational tasks as required by the CEO.
Requirements
  • Highly efficient, organized, and able to work independently.
  • Excellent written and verbal communication skills.
  • Proactive, detail-oriented, and able to manage multiple tasks simultaneously.
  • Experience with the following platforms (or similar) is highly desirable:

o   WordPress (website content updates)

o   HubSpot (CRM)

o   Trello (project management)

o   Image editing (resizing, cropping, optimization for web)

o   Facebook Ads

o   QuickBooks (for invoicing)

o   VistaSocial (social media scheduling)

o    ChatGPT

o   Slack (internal communication)
